The central topic of the meeting was intelligent document management using AI. Participants discussed the practical aspects of implementing artificial intelligence into modern business processes, focusing on critical areas such as automatic classification, routing, and processing of documents. Leading experts of the consortium demonstrated the new capabilities of the Nectain Platform, which stands as a flagship solution in the company's ECM product line.

Modern enterprises face an exponential growth of unstructured information. Traditional Enterprise Content Management (ECM) systems are no longer capable of efficiently sorting and processing thousands of incoming documents daily. The core issue lies in manual labor: employees spend hours on initial analysis, determining document types, and assigning responsible parties. Therefore, integrating artificial intelligence into ECM is becoming not just a competitive advantage, but a fundamental business requirement.
During the event, Intecracy Group specialists detailed the mechanisms that allow the transformation of routine operations. The use of artificial intelligence within the Nectain Platform enables the automation of the entire document lifecycle, starting from the moment of registration in the system. Thanks to machine learning technologies, the platform can independently analyze file content, recognize key entities, and make decisions regarding further document routing without human intervention at the initial processing stage.
Automatic Classification and Routing as the Core of Efficiency
The central technological focus of the presentations was the automatic classification and routing of documents. Instead of using rigid rules that often break when document formats or templates change, the Nectain Platform utilizes flexible semantic models. This allows the system to recognize context even when the document structure is non-standard or contains optical character recognition (OCR) errors.
"Integrating artificial intelligence into the Nectain Platform is not just a nod to trends, but a technological necessity for modern business. We focus on creating hybrid models that combine classical text processing algorithms with modern neural networks. The main challenge here is to find a balance between recognition accuracy and computing power. Utilizing specialized local models allows us to ensure high-speed processing of confidential data without the risk of information leakage outside the corporate perimeter. This makes it possible to automatically determine the document category in a matter of seconds, minimizing the human factor during the initial analysis phase," noted Yurii Syvytskyi.
The classification mechanism is based on vector representations of texts. The system compares the incoming document with existing classes in the company's knowledge base and determines the degree of match. After successful classification, the intelligent routing process is initiated. The system analyzes the document's content, identifies mentioned counterparties, amounts, and expiration dates, and automatically generates the optimal approval workflow.
Nectain Platform Architecture and Practical Implementation Scenarios
A key advantage of the presented solution is its flexible architecture. The Nectain Platform allows deploying AI modules both in the cloud and on the client's own servers (on-premise). This is critical for organizations with strict data security requirements, such as financial institutions or government agencies. The system integrates with existing registries and databases, enabling automatic verification of information specified in the documents.
"Content-based document routing is the next step in the evolution of ECM systems. Thanks to semantic analysis, the Nectain Platform is capable of not only recognizing the document type but also understanding its essence. For example, if specific financial obligations are detected in a contract text, the system automatically adds the Chief Financial Officer to the approval chain, even if this was not provided in the standard template. However, implementing such tools requires thorough data preparation and clear business logic design, as AI operates on probabilities, and the final word in critical decisions must always remain with a human," emphasized Serhii Balashuk.
Technological Challenges and Prospects of AI Integration in ECM
Participants of the Intecracy Solution Day also discussed the technological challenges that arise when implementing AI into existing corporate IT infrastructures. Among the key barriers, experts pointed out the quality of historical data required for training models, and the need for continuous adaptation of algorithms to changes in legislation or internal company regulations. However, the architecture of the Nectain Platform is designed to minimize these difficulties through active learning tools involving users.
