On March 11, 2025, Intecracy Group hosted a specialized online event, the Intecracy Customer Workshop, dedicated to the deployment and practical application of corporate AI assistants for document processing. The central theme of the discussion focused on search, summarization, and automated answer preparation based on internal organizational content using the integrated tools of the Nectain platform. The event featured presentations by leading industry experts Yurii Syvytskyi and Serhii Balashuk, who shared their vision of how artificial intelligence is transforming traditional Enterprise Content Management (ECM) systems.

Modern businesses face an exponential growth of unstructured data. Traditional keyword-based search methods in document archives often prove ineffective because they do not account for context and semantic relationships between different files. Creating an intelligent assistant capable of analyzing gigabytes of corporate information and delivering precise answers is becoming a critical need for large organizations.

A New Paradigm for Managing Corporate Knowledge

During the workshop, Yurii Syvytskyi emphasized that integrating artificial intelligence into the perimeter of ECM systems is not merely a nod to technological trends, but a necessary step to maintain operational efficiency. The primary task of a corporate AI assistant is to transform passive document repositories into active knowledge bases that instantly respond to user queries.

"The real value of artificial intelligence in the corporate sector emerges when we combine the power of large language models with the company's closed security perimeter. By leveraging the Nectain platform, we aim to provide users with a tool that does not just search for words but understands the essence of documents. However, there is an important trade-off: high accuracy of responses requires meticulous preparation of primary data and strict segregation of access rights so that confidential information does not reach unauthorized employees," noted Yurii Syvytskyi.

The implementation of such tools significantly reduces the time specialists spend on routine information retrieval in instructions, contracts, minutes, and correspondence archives. The AI assistant acts as an intelligent navigator, forming a cohesive picture of a given issue within seconds.

Technological Mechanisms: From Search to Answer Generation

The technical architecture of the solution was described in detail by Serhii Balashuk. The core of the Nectain corporate assistant is based on Retrieval-Augmented Generation (RAG) technology. This approach allows the language model to use exclusively verified internal company documents as the sole source of truth, minimizing the risk of so-called AI "hallucinations."

The system's operation process consists of several consecutive stages. First, documents undergo vectorization and indexing. When a user asks a question in natural language, the system performs a semantic search in the vector database, finding the most relevant text fragments. After that, the selected information is passed to the language model along with the user's query to generate a final, structured response.

"We designed the Nectain architecture to ensure complete data isolation. The language model operates within a secure environment and does not use corporate documents for public training. Our technological focus is directed at automating three key operations: rapid search in deep archives, abstracting or summarizing large volumes of text, and the intelligent preparation of draft outgoing documents based on previous precedents," explained Serhii Balashuk.

Practical Use Cases and Security Trade-offs

During the practical demonstration, online workshop participants were shown the interface of the AI assistant in action. A scenario was demonstrated where a user asked the system about specific equipment delivery terms according to agreements from previous years. The system did not just provide links to files but generated a brief analytical summary indicating specific contract clauses and document numbers.

Another important scenario is the preparation of responses to inquiries from government authorities or counterparties. The AI assistant analyzes the incoming letter, finds similar cases and template solutions in the knowledge base, and offers the user a ready-made draft response, which only needs to be verified and signed. This helps avoid errors associated with the human factor.

At the same time, the speakers openly discussed technological challenges. In particular, they highlighted that the quality of AI performance directly depends on the quality of information structuring within the ECM system. If the source documents contain contradictory data or outdated information, the AI assistant may produce a logically correct but factually irrelevant answer. Therefore, the implementation of AI requires the parallel development of a data governance culture and regular audits of information assets.

Concluding the event, the organizers noted that the development of intelligent services within the Intecracy Group product line will continue. Such workshops help clients better understand the practical value of innovations and prepare their IT infrastructure for the effective integration of artificial intelligence without risking the information security of the business.
