On March 14, 2023, the Intecracy Group consortium hosted a specialized Intecracy Customer Workshop in a mixed format. The main topic of discussion was the comprehensive automation of the corporate document lifecycle. Event participants had the opportunity to familiarize themselves with advanced practices and real scenarios of business process optimization using modern ECM systems, specifically the Megapolis.DocNet platform. The keynote speaker of the event was the well-known IT expert and co-founder of the consortium, Yurii Syvytskyi.

End-to-End Process: From Creation to Archival Storage

A modern enterprise faces enormous volumes of information daily. Effective management of these flows requires a clearly structured approach that covers all stages of a document's existence. The central angle of discussion at the workshop was the concept of a continuous lifecycle, which includes the creation, approval, execution, control, and long-term storage of documents. Each of these stages has its own characteristics and challenges that require reliable technological solutions.

Document creation is the starting point where metadata is established and subsequent workflows are determined. The use of templates and automatic metadata entry in the Megapolis.DocNet system helps avoid mechanical errors that often occur during manual data entry. The next stage—approval—often becomes the most complex phase in large organizations with a branched structure. Thanks to flexible routing tools, approval can occur in parallel or sequentially. This allows only the necessary specialists to be involved in the process, automatically sends notifications about new tasks, and tracks document versions in real time, making it impossible to work with outdated editions.

It must guarantee the legal validity of documents over many years, fast search capabilities, and protection against unauthorized access or data loss.

Technological Challenges and Balance in ECM

Implementing Enterprise Content Management (ECM) systems is always associated with finding a balance between security and convenience. On one hand, strict requirements for cybersecurity and personal data protection dictate the need for rigorous access control. On the other hand, users expect an intuitive interface and operational speed comparable to everyday messaging applications.

During the workshop, the mechanisms designed to resolve this dilemma were examined in detail. In particular, the use of qualified electronic signatures (QES) ensures the full legal validity of actions within the system without complicating the user experience. A separate aspect is the flexibility of configuring business processes without involving programmers (Low-Code/No-Code tools), which allows adapting the system to changes in legislation or internal company regulations in the shortest possible time. This reduces the total cost of ownership (TCO) and makes the system more resilient to organizational changes.

"The biggest challenge during ECM system implementation is the balance between strict control and user convenience. Prospects for the Development of Digital Ecosystems

The mixed format of the event allowed for the involvement of both in-person and online participants in the discussion. This highlighted the general trend towards the hybrid working format of modern offices. Under such conditions, a centralized document management system becomes the single source of truth for geographically distributed teams.

Participants also discussed the issues of long-term archival storage of electronic documents. It was noted that preserving the integrity and authenticity of files over decades requires the use of specialized formats and regular updates of encryption certificates.
