On November 14, 2023, the Intecracy Group consortium hosted a specialized event, the Intecracy Customer Workshop, held in a mixed format. The central theme of the meeting was the automation of contracts and internal approvals — one of the most critical aspects of modern corporate governance. Participants discussed practical tools for building transparent document routing, mechanisms for deadline control, and the clear definition of accountability at every stage of the contract lifecycle. The keynote speaker of the event was the well-known IT expert and co-founder of the consortium, Yurii Syvytskyi.
The event was led by Data Management IG LLC, an Intecracy Group member.
Modern businesses require rapid decision-making, yet chaotic approval processes often lead to financial and reputational losses. During the workshop, the speakers analyzed in detail why traditional paper or semi-digital document approval methods no longer meet market demands. The primary focus was placed on transitioning to fully automated end-to-end processes.
Transparency and Control in Every Link of Approval
The main problem for many organizations is the lack of a single source of truth when working with contracts. When a document is approved via email or messengers, it is practically impossible to track its current status and determine exactly who is holding up the process. Yurii Syvytskyi emphasized that the primary task of automation is to create visually clear and strictly regulated routes.
Thanks to the implementation of modern workflow solutions, each participant in the process clearly sees their area of responsibility. The system automatically routes the document to the next signatory, eliminating human error and the possibility of losing the file. This not only accelerates approval but also ensures complete transparency for management, who can audit the process at any given moment.
Technological Foundation: The Synergy of BPM and ECM
At the core of the proposed solutions lies the deep integration of Business Process Management (BPM) and Enterprise Content Management (ECM) systems. The BPM engine is responsible for the logic and dynamics of document movement, while the ECM system ensures secure storage, version control, and rapid access to the archive.
The combination of these technologies allows for the creation of flexible approval scenarios that adapt to the contract type, its value, or the counterparty. For instance, high-value contracts are automatically routed for additional verification to the legal department and the security service, while standard agreements follow a simplified procedure.
"Automation is not just about moving paper chaos into a digital format. The true value lies in restructuring the processes themselves. By utilizing BPM and ECM, we create a digital environment where every step is recorded and irreversible. This eliminates situations where no one is held accountable for delaying an important contract. A transparent route disciplines the organization and protects it from internal risks," noted Yurii Syvytskyi during his speech.
Deadline Control and Fixing of Accountability
Special attention during the workshop was paid to the mechanisms of controlling time limits. Delaying the signing of a contract can cost a company a lucrative partnership or lead to penalties. Modern workflow tools allow setting strict timeframes (SLAs) for each approval stage.
If an assignee does not process the document within the specified timeframe, the system automatically sends a reminder or escalates the task to a higher level. All user actions — from viewing and editing to final signing — are recorded in the system log. This prevents manipulation of dates and allows for an objective assessment of each employee's performance.
Integration Capabilities and Adaptation to Business Needs
Modern automation systems cannot exist in isolation. To achieve maximum efficiency, BPM and ECM platforms must be tightly integrated with other corporate systems, such as ERP and CRM. This allows for the automatic import of counterparty data, verification of financial limits, and synchronization of contract statuses without manual data entry. Yurii Syvytskyi elaborated on the architectural aspects of such integration, emphasizing the importance of open APIs and flexible configuration tools that allow the system to adapt to the specific needs of a business without requiring developer intervention for every minor change.
This approach significantly reduces the total cost of ownership and accelerates implementation. Organizations receive not just a tool for signing documents, but a comprehensive environment for managing operational risks and increasing overall business efficiency.
During the mixed-format event, participants had the opportunity to explore real-world scenarios for setting up routes and discuss complex practical cases, such as parallel approval by different departments and handling protocols of disagreement. The workshop served as an important platform for exchanging experience and defining the development vectors for corporate content management systems for the coming year.
