On July 11, 2023, Intecracy Group hosted a specialized Intecracy Customer Workshop in a mixed format. The central theme of the meeting addressed a critical challenge faced by almost every growing enterprise: "How to integrate corporate systems without a complete replacement of the existing infrastructure." Event participants discussed practical cases and methodologies where system integration and application programming interfaces (APIs) serve as the primary tools for connecting disparate platforms. The keynote speaker and discussion moderator was the prominent IT architect Serhii Balashuk, who presented a comprehensive concept for the phased integration of ERP, CRM, ECM, and various specialized legacy systems.

The Challenge of Fragmented Enterprise Software
A modern enterprise often resembles a patchwork quilt of different software solutions. At one point, an ERP was implemented for financial accounting, later a CRM was added for sales management, and eventually, the need arose for an ECM to handle document workflows. While each of these systems performs its localized tasks exceptionally well, the lack of automated data exchange between them creates serious operational barriers. Employees are forced to transfer data manually, leading to human errors, decision-making delays, and an overall decrease in productivity.
Replacing the entire IT infrastructure with a single monolithic system seems like an obvious solution, but it is highly risky. It requires colossal financial investments, takes years to implement, and carries the risk of disrupting critical business operations. This is why system integration based on existing solutions is becoming the most rational path for evolving the corporate IT landscape.
System Integration and APIs as an Alternative to Radical Overhauls
Instead of a revolutionary overhaul that discards legacy systems, Intecracy Group advocates for an evolutionary path. Utilizing APIs allows organizations to build a flexible, service-oriented architecture where each system remains autonomous while working in close coordination with others. This approach minimizes risks and allows businesses to see tangible results during the very first phases of the project.
"When a business faces the challenge of modernization, the first impulse is often to build everything from scratch. However, reality dictates different rules. Dismantling legacy infrastructure entirely is too expensive and highly risky. System integration via APIs allows us to link ERP, CRM, and ECM into a single organism gradually, step by step. We do not break what works and generates revenue; instead, we build reliable bridges between systems. This preserves previous investments and ensures business continuity," noted Serhii Balashuk during his presentation.
A Phased Approach: From Chaos to Orchestration
The workshop participants examined the mechanisms of step-by-step integration in detail. The first step always involves a thorough audit of existing systems and identifying critical data touchpoints. For instance, synchronizing customer directories between CRM and ERP is a high-priority task, as it directly impacts billing speed and product dispatch. The next phase involves connecting ECM systems to automatically generate contracts based on data pulled from the CRM.
To establish these connections, developers implement integration middleware or utilize microservices-based API gateways. These tools handle data format translation between different systems, ensuring secure and high-speed information transfer. Consequently, the enterprise gains a unified information space without the need to retrain staff to use entirely new software interfaces.
Special attention during the seminar was paid to data security issues. When integrating systems via APIs, it is critical to ensure traffic encryption and strict access control to prevent any leaks of confidential commercial information.
Technical Trade-offs and Practical Value
Naturally, phased integration presents its own technical challenges. The speaker pointed out that architects must address the performance limitations of legacy systems, which may struggle with a high volume of API requests. In such cases, data caching mechanisms or message queues are deployed to balance the load effectively.
The primary value of this approach lies in its inherent flexibility. If the company decides to replace one of its systems in the future—for example, a legacy CRM—it will not need to rebuild the entire IT infrastructure. It will be sufficient to reconfigure the API integration for the new module, while the ERP and ECM systems continue to operate as usual. This ensures the long-term viability of business processes and protects the company's IT investments.
