The discussion focused on advanced automation tools, particularly IDP/OCR platforms and solutions based on the Nectain system, which allow transforming chaotic incoming data into structured business processes.

The Concept of Intelligent Recognition and Classification

Modern businesses face massive volumes of unstructured information daily: scanned copies of contracts, invoices, certificates of completion, as well as thousands of emails and messages in various messengers. Traditional methods of processing such documents require significant human resources, which inevitably leads to errors due to the human factor and delays in managerial decision-making. During the workshop, experts analyzed in detail how Intelligent Document Processing (IDP) and Optical Character Recognition (OCR) technologies are changing this landscape.

The core idea is to create an end-to-end process where every incoming document automatically goes through several key stages: from initial analysis and classification to full extraction of useful data and launching corresponding workflows within the ECM ecosystem. This approach allows significantly reducing information processing time and ensuring high accuracy of its interpretation.

“Today we are talking not just about scanning papers, but about creating an intelligent data pipeline. When a document enters the system, algorithms must instantly understand its type — whether it is a contract, a tax invoice, or a customer complaint. Based on this, key attributes such as amounts, counterparty details, or expiration dates are automatically extracted. This frees qualified specialists from monotonous work and allows them to focus on analytical tasks,” noted Yurii Syvytskyi, co-founder of Intecracy Group, during his speech.

Technological Mechanisms of the Nectain Platform

Special attention at the workshop was paid to the practical application of the Nectain product family. Integrating IDP/OCR tools into the enterprise content management (ECM) environment allows implementing flexible document processing scenarios without the need to involve third-party developers for every new template type. The Nectain platform demonstrates high flexibility in working with various data formats, ensuring reliable information reading even under conditions of low-quality source scans.

Participants learned about the machine learning mechanisms that underlie document classification. Instead of rigid rules that often break when a document's structure changes, the system utilizes semantic analysis and visual templates. This allows the platform to independently adapt to new document formats coming from counterparties, minimizing the need for constant reconfiguration by system administrators.

Data Verification and Automatic Process Triggers

However, data extraction is only half the battle. The next and equally important stage is data verification and launching corresponding business processes. The information obtained from documents must be automatically reconciled with the data of internal accounting systems and directories. For example, the amount in the received invoice must match the terms of the active contract, and the supplier's details must match the ERP system database.

In case of successful verification, the system automatically initiates the next steps: payment approval, updating statuses in the database, or sending notifications to responsible managers. If discrepancies are detected, the document is flagged as requiring additional attention and routed to an operator for verification. This allows building a completely transparent and controlled corporate content processing system.
