Intecracy Group’s EDO Implementation: Business Benefits

Deals highlights Intecracy Group’s experience in self-implementing electronic document management and its key advantages.

The publication Deals has released an article detailing the Intecracy Group consortium’s experience in developing and implementing its own electronic document management (EDM) system called DEALS. This case study demonstrates how the company successfully optimized internal and external business processes by transitioning to paperless document exchange.

The DEALS system was built in-house over six months, focusing on user-friendly interface, high cybersecurity, and legal validity of documents signed with an electronic digital signature (EDS). It is based on the UnityBase platform, also used for some government registries. The main challenge during implementation was convincing employees and counterparties of the benefits of abandoning traditional paper-based document management, despite significant annual expenses on paper and related processes.

Why this experience can be valuable for Ukrainian businesses?

  • Resource Savings: Implementing EDM significantly reduces costs associated with paper, printing, logistics, and document storage, allowing these funds to be redirected towards company development. Intecracy Group’s experience showed annual savings of approximately UAH 650,000.
  • Increased Efficiency: Transitioning to EDM substantially accelerates business processes. Estimates indicate that document preparation and approval times have decreased by 4-6 times, and search times by 8-10 times, improving control and responsiveness.
  • Reliability and Security: Utilizing proven platforms and EDS ensures the legal validity of electronic documents and a high level of cybersecurity, which is critically important in today’s environment.

The Intecracy Group case study emphasizes that successful EDM implementation requires leadership commitment and systematic educational efforts among staff and partners.
