Understanding Electronic Signatures: Ensuring Document Integrity

Discover how electronic digital signatures guarantee the immutability and authenticity of electronic documents.

The media resource InBase has published an article highlighting the importance of electronic digital signatures (EDS) for ensuring the integrity of electronic documents. The article explains the key aspects of EDS functionality and its role in modern document management.

An electronic digital signature is a block of data appended to an electronic document without altering its original appearance. Its primary function is to guarantee the document’s immutability after signing. Any modifications to the document file after an EDS is applied will be detected during verification, confirming its integrity.

The process of creating an EDS involves two main stages: first, software calculates a unique, fixed-length ‘message digest’ (hash). This digest is unique to each document, and any change indicates tampering. In the second stage, the digest is encrypted using the signer’s private key. EDS verification is performed using the public key, contained within a certificate, which confirms the signature’s attribution to a specific individual.

In Ukraine, the Law “On Electronic Trust Services” has been in effect since 2018, introducing the concept of a qualified electronic signature (QES). A QES, unlike a standard EDS, is stored on a secure device and possesses the highest level of legal validity. The use of Mobile ID as a QES also simplifies electronic identification and document signing.

Why is this beneficial for Ukrainian businesses?

  • Legal Significance and Trust: QES ensures the legal validity of electronic documents, which is crucial for concluding contracts, submitting reports, and conducting business correspondence in remote work environments.
  • Security and Integrity: The guarantee of immutability for signed documents prevents fraud and disputes, enhancing trust in electronic document management.
  • Process Optimization: Utilizing EDS/QES significantly speeds up document exchange, reduces paper and logistics costs, and promotes the digitalization of business processes.
